In these terms, “Rich Hippy Travel”, “we”, “us” and “our” mean Rich Hippy Travel Ltd.

2. Our Role

Rich Hippy Travel designs, organises and manages land-based travel packages under the Rich Hippy Travel brand.We work with destination-management companies, hotels, guides, transport providers and specialist operators to deliver the individual services forming each journey. These partners operate as our suppliers and ground handlers.Where Rich Hippy Travel is identified as the organiser, your package contract is with Rich Hippy Travel Ltd. We remain responsible for performance of the travel services included in that contract even where those services are delivered by our suppliers.We may also act in the following separate capacities:as an agent for a named ATOL holder providing a flight-inclusive package;as an agent for an individual hotel, airline or travel-service supplier where expressly stated; oras the provider of a standalone Travel Blueprint or itinerary-planning service.Our role will be identified before payment.

3. Land-Based Packages

Rich Hippy Travel is the organiser of the land-based packages it creates and sells in its own name.A land-based package may include combinations of:accommodation;private transportation;rail or domestic transport;transfers;guiding;tours;activities;meals;permits;vessels; and other destination services.Our destination-management companies and local partners are suppliers to Rich Hippy Travel. They are not normally parties to your package contract.We will act as organiser only where the applicable insolvency protection is effective before the package contract is confirmed and payment is accepted.

4. Flight-Inclusive Arrangements

Rich Hippy Travel does not claim to hold its own ATOL unless expressly stated and supported by a valid ATOL licence.Where we arrange an ATOL-protected flight-inclusive package, we act as agent for the ATOL holder identified in your Booking Confirmation and ATOL Certificate.

The ATOL holder’s booking conditions will apply to the protected flight-inclusive package.You will receive an ATOL Certificate when payment is accepted. The certificate will identify:the services protected;the travellers protected;the responsible ATOL holder;the ATOL number; and what to do if the ATOL holder ceases trading.ATOL protection does not apply to every travel service arranged by Rich Hippy Travel.

5. Standalone Travel Services

Where we arrange a standalone flight, hotel, transfer or other individual travel service as agent, we will identify the responsible supplier before booking.Your contract for that service will be with the named supplier, and its booking conditions will apply.A standalone travel service may not receive the same protection as a package.

6. Website Journeys

Journeys displayed on the Rich Hippy Travel website describe routes, experiences and travel styles that may be requested as designed or personalised before confirmation.Unless expressly marked as a confirmed departure, website content does not constitute:

confirmed availability;
a confirmed reservation;
a guarantee of a particular hotel;
a guarantee of a particular supplier;a promise of wildlife or natural events;
or a binding package contract.

Website prices are indicative starting prices based on the journey format, occupancy, party size and conditions displayed.Selecting a Trip Option, submitting an enquiry or entering checkout information creates a booking request only.

7. Pre-Booking Information

Before payment is captured, we will provide a proposal or Booking Summary identifying:

the destination and itinerary;
travel dates and duration;included and excluded services;
accommodation details or standard;
transportation arrangements;
traveller and occupancy details;
total price and currency;
deposit or full-payment requirement;
balance-payment deadline;
amendment and cancellation conditions;
minimum group size, where applicable;
Rich Hippy Travel’s contractual role;
applicable financial protection;
known non-refundable services;
relevant passport, visa and health information;
material accessibility or participation requirements;
and the applicable booking conditions.

Where required, the appropriate statutory package-travel information will also be provided.

8. Formation of a Package Contract

A land-package contract becomes binding only when:you accept the proposal and these Booking Terms;the relevant suppliers confirm availability;the applicable insolvency protection becomes effective;the required deposit or payment is captured; andRich Hippy Travel issues a written Booking Confirmation.Before these steps are completed, any booking remains provisional.If the requested services become unavailable before confirmation, we may offer an alternative. You are not required to accept it.The lead traveller must be at least 18 years old and have authority to accept these terms on behalf of everyone included in the booking.The lead traveller is responsible for providing the booking documents and important information to the other travellers.

9. Booking Requests and Payment Authorisation

Where checkout is available, we may ask you to provide payment details or authorise a payment before the booking is confirmed.Unless your Booking Summary expressly states that protection is already active, we will not capture the payment until:supplier availability is confirmed;insolvency protection is effective; andthe package is ready for confirmation.If the booking cannot be protected or confirmed, the payment authorisation will be released or cancelled and no package contract will arise.Once Rich Hippy Travel maintains a policy facility that automatically covers eligible bookings from the moment of payment, deposits may be captured immediately in accordance with that policy.

10. Travel Blueprint and Planning Services

A Travel Blueprint or other standalone planning service may include:consultation;destination research;proposed routing;accommodation recommendations;activity suggestions;indicative logistics;estimated budgets; and itinerary refinement.The exact scope, fee, delivery period and revision allowance will be provided before purchase.A planning fee pays for professional research and journey design. It does not itself reserve accommodation, transportation, activities or other travel services.A planning fee is not:a package deposit;confirmation of availability;payment for travel arrangements; or evidence of ATOL or package insolvency protection.Any offer to credit a planning fee against another Rich Hippy service will be stated in writing.

11. Cancellation of Planning Services

Where a planning service is purchased online, by telephone or away from our business premises, you will normally have 14 days from entering the contract to cancel it.We will not begin work during that period unless you expressly request an early start.If you ask us to begin during the cancellation period and then cancel before completion, you must pay a proportionate amount for work already performed.The cancellation right will end once the planning service has been fully completed where:you expressly requested that work begin during the cancellation period; and you acknowledged that the cancellation right would be lost after full performance.After the applicable cancellation period, planning fees are refundable only where the planning proposal provides otherwise or the agreed service has not been delivered.

12. Prices

Unless stated otherwise, journey prices are shown per person and are based on the displayed:journey format;party size;room occupancy;travel tier; and pricing conditions.A “from” price is an indicative starting price and not a guaranteed price for every date or party size.Your final price may be affected by:travel dates and season;party size and occupancy;accommodation availability;internal flights;permits and conservation fees;private vehicles or vessels;supplier rates;exchange rates; and requested personalisation.Your Booking Summary will state the total price, known taxes and compulsory charges.We do not charge consumer debit-card, credit-card or PayPal surcharges.Travellers remain responsible for charges independently imposed by their bank, card issuer or currency-conversion provider.

13. Price Changes After Confirmation

We may increase the confirmed package price only where permitted by law and because of a change in:fuel or other power costs affecting passenger transportation;taxes or fees imposed by third parties, including tourist taxes, port charges, airport charges or park fees; or exchange rates relevant to the package.Any increase will be supported by a clear calculation. No increase will be made during the 20 days before departure.You will be entitled to an equivalent reduction, less reasonable administrative costs, where the relevant costs decrease.If a permitted increase exceeds 8% of the total package price, you may:accept the increase;accept any substitute package offered; or cancel without paying a termination fee.

14. Deposits and Balance Payments

Deposit and payment requirements vary because our suppliers apply different conditions.Your Booking Summary will state:the deposit required;any staged payments;the final balance deadline;payment currency;payment method; and known non-refundable elements.Flights, permits, private vessels, special-event arrangements, exclusive-use properties and promotional rates may require immediate or non-refundable payment.Where Rich Hippy Travel is the organiser:the applicable insolvency protection must be effective before the first payment is captured;your payment will be covered in accordance with that protection;deposits may be used to secure or pay suppliers where permitted by the protection arrangement; and the protection provider will be identified before payment and in your Booking Confirmation.If a balance is not received by the stated deadline, we will contact the lead traveller and provide a reasonable opportunity to make payment.If payment remains outstanding, we may treat the package as cancelled and apply the disclosed cancellation conditions.

15. Segregated Customer Account

Rich Hippy Travel maintains a segregated account to separate relevant customer funds from ordinary day-to-day operating funds.This is an administrative safeguard and is not represented as:an independent statutory trust;ATOL protection;package-travel insolvency insurance; ora substitute for the booking’s confirmed financial protection.The statutory protection applying to each Rich Hippy-organised package will be separately identified.

16. Insolvency Protection

Rich Hippy Travel will not confirm or accept payment for a package for which it acts as organiser until effective insolvency protection is in place.Before payment is captured, you will be provided with:the protection provider’s legal name;the applicable policy or booking reference;the scope of protection;claims contact information; and confirmation of applicable repatriation protection.The protection will cover payments made for travel services not performed because of Rich Hippy Travel’s insolvency.Where the package includes passenger transportation, applicable protection will also cover repatriation and necessary accommodation arising from our insolvency.Protection details supplied in the Booking Summary or Booking Confirmation form part of your package contract.

17. Traveller Information

You must ensure that traveller names, dates of birth, passport details and other booking information are accurate.Names supplied for flights, permits and restricted services must match the traveller’s passport.Check all Booking Confirmations and documents immediately and report any error without delay.You will be responsible for reasonable charges caused by incorrect information supplied by you, except where the error was caused by Rich Hippy Travel.

18. Changes Requested by You

Requests to change a confirmed package must be made in writing by the lead traveller.We will try to accommodate reasonable requests, but changes are subject to availability and supplier approval.Before processing a change, we will advise you of any:price difference;supplier amendment charge; replacement-service cost; or reasonable Rich Hippy administration fee. Flights, permits and certain promotional or non-refundable services may not be changeable. Transfer to another traveller You may transfer the package to another person who satisfies all conditions applying to the journey.You must provide reasonable written notice. Notice given at least seven days before departure will normally be considered reasonable. You and the replacement traveller will be jointly responsible for the outstanding balance and the actual and reasonable costs of the transfer.Evidence of those costs will be provided on request.

19. Cancellation by You

You may cancel the package at any time before departure by notifying us in writing.The cancellation scale applying to your journey will be provided before booking and repeated in your Booking Confirmation.Cancellation charges will be reasonable and justifiable and may take account of:the time remaining before departure;irrecoverable supplier payments;costs that we can reasonably save;amounts recovered through resale or alternative use; and work already performed.If no standard scale was supplied, the termination charge will be the package price less the costs saved and income received from alternative use of the cancelled travel services.We will provide a justification for the cancellation charge if requested.Unavoidable and extraordinary circumstances You may cancel without paying a termination fee where unavoidable and extraordinary circumstances occur at the destination or its immediate vicinity and significantly affect:performance of the package; or carriage of passengers to the destination.Where this statutory right applies, you will receive a full refund of payments made for the package but no additional compensation.

20. Changes Before Departure

We may make an insignificant change and will notify you where appropriate.If we must make a significant change to a principal feature of the package, we will explain:the proposed change;its effect on the price;the period available for your decision;the consequences of not responding; andany substitute package offered.You may accept the change, accept a substitute package or cancel without paying a termination fee.Where the replacement package is of lower quality or cost, you will receive an appropriate price reduction.If you cancel because of a qualifying significant change and do not accept a substitute package, payments will be refunded without undue delay and no later than 14 days after termination.

21. Cancellation by Rich Hippy Travel

We may cancel a package where:the stated minimum number has not been reached and proper notice is given; or unavoidable and extraordinary circumstances prevent performance.For journeys lasting more than six days, cancellation because of insufficient numbers will be communicated no later than 20 days before departure.Where a refund is due following termination of a package, it will be made without undue delay and no later than 14 days after termination.

22. Hosted Group Journeys

A Hosted Group journey is a departure formed by Rich Hippy Travel from individual travellers or smaller parties.The applicable journey information will state:eligibility requirements;intended and minimum group size;room-sharing arrangements;single-room supplements;confirmed departure status;final price; andthe date by which minimum numbers must be reached.Registering interest does not create a confirmed booking.No Hosted Group deposit will be captured until the departure can be confirmed and applicable insolvency protection is effective.Participation in a Hosted Group does not guarantee personal compatibility between individual travellers.

23. Performance of the Package

Rich Hippy Travel is responsible for performance of the travel services included in a package it organises, even where those services are delivered by DMCs, guides, hotels or other suppliers.If you encounter a problem, you must notify Rich Hippy Travel or the local representative without undue delay so that there is a reasonable opportunity to investigate and remedy it.Where a service cannot be supplied as agreed, we will provide an appropriate remedy or suitable alternative where required.We will provide appropriate assistance where a traveller experiences difficulty during the package.A reasonable fee may be charged where the difficulty was caused intentionally or through the traveller’s negligence. Any fee will be limited to the actual costs incurred.
